Jacaranda is seeking a Clinical Operations Associate to support our Clinical Director.
The ideal candidate will
be experienced in handling a wide range of administrative and executive
support related tasks and will be able to work independently with little
or no supervision.
This person must be exceedingly well organized, flexible and enjoy administrative challenges of supporting a growing office.
The ability to interact
with staff (at all levels) in a fast paced work environment, sometimes
under pressure, remaining flexible, proactive, resourceful and efficient
with a high level of professionalism and confidentiality is crucial to
this role.
Expert level written and communication skills, strong decision making ability and attention to detail are equally important.
Responsibilities

- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintains director's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Represents the director by attending meetings in the director's absence; speaking for the director.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Maintains customer confidence and protects operations by keeping information confidential.
- Completes projects by assigning work to clerical staff; following up on results.
- Prepares reports by collecting and analyzing information.
- Secures information by completing data base backups.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
- Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Contributes to team effort by accomplishing related results as needed.
Requirements
- 3+ years supporting at the executive level
- Excellent calendar management skills, including the coordination of complex executive meetings
- Experience with assisting management with the creation of Power Point presentations
- Strong knowledge of MS office, including Word, Excel, Power Point and Outlook
- Experience scheduling travel arrangements for management
We strongly prefer a
Bachelor’s degree with experience in successfully creating and /or
modifying processes and offering support in a professional services
environment.
